Privacy policy

1. Data controller

HaccpShield ("we") is the data controller for personal data processed via this application. Contact: privacy@haccpshield.nl.

2. What data we collect

  • Account data: name, email, organisation, location(s) and role.
  • HACCP records: temperature logs, cleaning records, incidents, audits and any photos or attachments you choose to upload.
  • Technical data: IP address, device type, operating system, browser or app version and security/diagnostic logs. The iOS/Android apps may also include a device identifier and push token.
  • Payment data: processed by Stripe. We only receive subscription status, invoice numbers, dates, amounts and links to invoice PDFs (visible in the app under Settings → Invoices). We never receive or store card numbers.

3. Purpose

  • Providing HACCP monitoring and reporting functionality.
  • Managing your account, subscription and billing.
  • Sending transactional emails (confirmations, reports, alerts).
  • Improving and securing the service.
  • Complying with legal retention requirements (HACCP records 2 years).

4. Legal basis

We process data on the basis of: performance of the contract (art. 6(1)(b) GDPR), legal obligation (c), and legitimate interest (f) for security and product improvement.

5. Processors

  • Supabase (Frankfurt, EU) — database and authentication.
  • Cloudflare (EU edge) — hosting and CDN.
  • Stripe (Ireland) — payment processing.
  • Resend (EU) — transactional email.

All processors operate within the EU/EEA or under a valid adequacy decision.

6. Retention

Account data is retained for as long as the account is active. HACCP records are retained for at least 2 years per Regulation (EC) 852/2004. After account deletion personal data is anonymised or erased within 30 days.

7. Your rights

You have the right to access, rectification, erasure, restriction, data portability and objection. Exercise these via privacy@haccpshield.nl. Complaints can be filed with the Dutch Data Protection Authority.

8. Deleting your account

You can permanently delete your account yourself via Settings → Delete account in the app. All personal data is removed; anonymised HACCP records may be retained where legally required.
